Your Lead CRM: Pipeline, Agenda, Tasks and Owners

Every inquiry that comes through livoW lands in your CRM. This guide covers everything available to you: leads, statuses, activities, Agenda, Tasks and Owners — on both web and the app.

How does a lead arrive?

A lead is only created when someone submits the inquiry form from one of your listings. Saving a search or favoriting a listing does NOT create a lead — those actions only send the interested person a push notification when something new matches; they don't generate activity in your CRM.

The status pipeline

Every lead moves through a status you control:

  • New — just arrived, not yet contacted.
  • Contacted — you've made first contact.
  • Visit — you scheduled or made a property visit.
  • Negotiation — terms are being discussed.
  • Closed won — the deal went through.
  • Lost — the lead stalled or chose another option.

Notes and activities

Every lead keeps an activity history. In the app you can log a note, call, WhatsApp message, or visit; on the web panel you can also log an email. The system also automatically logs when the lead was created and every status change — that trail (creation, status changes) can't be deleted, so the history always stays trustworthy.

Marking "closed won": different on app vs. web

There's an important cross-platform difference worth knowing:

  • On the app: marking a lead as closed won shows a confirmation, and afterward the status locks — it can't be changed from the phone.
  • On the web panel: there's no lock. You can reopen or change the status of an already-closed lead from the web at any time.

Why this difference matters

If you marked something closed by mistake, or need to correct it, do it from the web panel — you won't be able to reverse it from the app.

CRM Pro features (Pro and Partner plans)

On the web panel, with a Pro or Partner plan, your CRM expands with:

  • Additional private notes per lead.
  • Next action, so you never lose track of what's next with each contact.
  • Estimated deal value, to size up your pipeline.
  • Custom tags to organize your leads however you like.
  • CSV export, to bring it into your own spreadsheet or another system.
  • A stats and KPI dashboard for your lead pipeline.

The Basic plan has the essential CRM (statuses, notes, activities) without these extras.

Agenda: your appointments

The Agenda tab organizes your scheduled visits and appointments with leads. On the app you see upcoming appointments; on the web panel you also get the full history of past ones.

Tasks

You can create your own tasks so nothing slips (call back, send documents, follow up). On the web panel you can also link each task to a specific owner — useful when the pending item is with whoever trusted you with the property, not the buyer.

Owners: who trusted you with what

Besides buyer leads, you keep a record of the owners who trusted you to sell or rent their properties. Each property links to a single owner at a time, and you can keep a running log of notes about that relationship — useful for staying in touch through the whole process, especially if you manage several properties for the same owner.

What about livoW's commission on that closing?

That's a separate path from the CRM: when the buyer reports the closing with proof, livoW reviews it and invoices you based on your plan. Marking a lead as closed won in your CRM is for your own tracking — it doesn't replace or automatically trigger that report.
